Welcome to our privacy policy. We are Identipet (Pty) Ltd (Registration number: 1999/025765/07).
This privacy notice informs you how we collect and use your personal information when you visit our website and our web app. This notice may change, but we will let you know if there are any significant changes.
1. WE ARE THE IDENTIPET GROUP
The Identipet partner group consists of:

2. WHAT PERSONAL INFORMATION WE COLLECT AND USE ON OUR WEBSITE
2.1. When you visit our www.identipet.com website
We collect the following information from you when you visit our website:
User experience
When you visit our website, we automatically collect certain information from your browser to help us improve security, functionality, and user experience. This includes your IP address, browsing habits, click patterns, software version, system type, screen resolution, colour capabilities, plug-ins, language settings, cookie preferences, and search engine keywords.
We also track the pages you visit, the time spent on each page, and the paths taken through our site. This information helps us understand how users interact with our website so we can optimise its performance and content.
Cookies
We use cookies to remember your preferences, track usage patterns, and enhance your overall experience on our website. Cookies help us provide a more personalised browsing experience by storing relevant settings and preferences.
2.2. When you update your details on our website
We collect your information when you complete the online form to change your details on our system. The following information is required to update your information and verify that we are updating the correct client/user information.
On the form, you will be able to update your:
• First and last name;
• Pet’s name;
• Microchip number;
• Contact details; and
• A tickbox to confirm what is being updated and a block to add additional notes if needed.
By collecting this information from you, we are keeping your information correct and updated, in line with POPIA requirements and as part of your data subject rights to correct, update and delete your information on our system. We do charge an R89 admin fee to update your details for you (instead of you doing it on the Web App).
2.3. When you mark your pet as deceased on our website
We will then collect the following information from you:
• Date that the pet became deceased
We collect this information to keep your personal information correct and updated. This update will mark your pet as deceased on our system, but you are still able to see their details, if you want to.
2.4. When you send us a query
When you submit your details for a call back on our website, we ask you for your:
• First and last name;
• Email address; and
• A block to add a message.
We collect this information to respond to your request to contact you.
2.5. When you subscribe to our newsletter
We ask for your email address when you sign up to our newsletter to receive news and updates
We do not collect any information from you during this process unless you email us and provide us with your information directly.
2.6. When you visit our store
The items you choose are added to the checkout cart. Once you click on the checkout button, we will ask you to complete the fields for your email or mobile phone number, and you have the option to tick a box to receive news or offers via email.
We collect the following information for the delivery of the products you buy:
• Country;
• First and last name;
• Address;
• Province; and
• Phone number is optional.
You also have an option to save this information next time by clicking a tickbox.
When you get to the payment page, you can choose whether the billing address is the same as shipping or if you want to use a different billing address, which you will provide yourself.
Once you click on ‘pay now,’ you will be redirected to Payfast to complete your purchase securely. We are not responsible for any information you provide on the Pay Fast site as this is an external service provider from which you choose to process the payment.
We collect the use this information to provide you with the goods you purchase as part of our contractual obligations to deliver the goods to you and to comply with applicable legislation.
2.7. When you click on external links on our website
When you click on the links to our Instagram or Facebook accounts or on any of our Identipet Group links on our website, you are leaving our website. We are not responsible for any personal information you provide on these platforms or which is processed by these platforms.
Remember to read the terms and conditions and privacy notices on these sites before providing any information.
3. WHAT PERSONAL INFORMATION WE COLLECT AND USE ON OUR WEB APP
3.1. When you use our web app to register your pet’s microchip and sign up for Identipet Basic Plan
When you register your pet’s microchip, you automatically join the free, default Identipet Basic plan or we will collect the following information from you:
• Microchip number;
• First name and last name;
• Email address; and
• Mobile number
After providing this information and registering, you will receive a verification email. You will need to verify your email address to continue with the registration process. We will then ask you:
• Your location
• Your pet’s information (species, name, breed, description, date of birth, sex, sterilised information, date of implant and implant vet).
This Basic Plan called Identipet Basic gives you access to the Identipet web app where you will be able to see your registered pets, add photographs of them and store all of your registered pets’ information including date of birth, breed, colour, sterilisation status and weight.
We collect this information to register your pet’s microchip and register you on the Identipet Basic plan for free, to ensure your pet can be identified and reunited with you if they go missing.
By collecting and storing this information securely, we can assist vets, shelters, and other authorised parties in verifying ownership and getting your pet back to you as quickly as possible.
Your information also helps us to provide you with customer support, keep you updated on important pet recovery services, manage our relationship with you and comply with legal and regulatory requirements.
3.2. When you upgrade to one of our paid Identipet Subscriptions
Because the Identipet Basic Plan is a free plan and these four plans are part of a paid subscription, you will be required to enter your debit or credit card details for recurring payment, which will be deducted each month through the Payfast platform.
Once you click on ‘subscribe and pay,’ you will be redirected to Payfast to complete your purchase securely. We are not responsible for any information you provide on the Pay Fast site as this is an external service provider from which you choose to process the payment.
Depending on the plan option you choose, we might request further information relevant to your plan benefits, such as which treatments your pet has received previously and vaccination information. This information will be used to send you reminders and keep your pet’s health a priority.
3.3. Our paid Identipet React subscription allows you to send an SOS alert to the Pet Rescue Network
If you send out an SOS alert on the Pet Rescue Network when your pet goes missing, your selected information will be added to the alert poster and shared in the Pet Rescue Network within a 10km radius of where you live. You
The information that will be shared on the poster, is:
• Pet name, photo and breed;
• Missing date;
• Last location;
• Owner details (yours);
• Mobile number; and
• Details about the incident.
You must not send out the SOS alert if you do not want this information shared in the Pet Rescuer Network or with your emergency contacts.
Please get permission from your emergency contacts before you add their information and inform them that they’ll receive alerts when you send one.
4. WHO WE SHARE YOUR PERSONAL INFORMATION WITH
We only share your personal information with companies in the Identipet Group when it's needed for the services included in your subscription.
We store personal information in South Africa only.
We use trusted Service Providers to help us run our organisation. They have agreed to keep your personal information secure and confidential and only use it for the purposes we share it with them.
Sometimes the law requires that we share your personal information, for instance, to comply with tax laws.
5. HOW LONG WE KEEP YOUR PERSONAL INFORMATION FOR
We must keep your personal information for as long as we have a relationship with you, as long as we must for operational reasons, or as long as the law requires.
6. HOW WE KEEP YOUR PERSONAL INFORMATION SECURE
We have implemented reasonable security measures to protect your personal information from being lost, used wrongfully, accessed without authorisation, changed, or destroyed.
However, no system is without flaws, and a breach of our physical, technical or organisational safeguards can not be ruled out completely. We will conduct regular security checks on our system, and if something happens, we will let you know if your personal information has been compromised and how you can assist in minimising the impact.

7. WHAT ARE YOUR RIGHTS AS A DATA SUBJECT
As a data subject, you have the right to:
• Ask what we know about you;
• Ask what personal information we sent to our service providers, network or anyone else;
• Object to our use of your personal information;
• Ask us to update, correct or delete any out-of-date or incorrect information we hold about you (or to change it yourself on the system where possible);
• Complaint to the Information Regulator if you feel that we are not processing your personal information in compliance with the Protection of Personal Information Act 4 of 2013 (POPIA); and
• Ask us to restrict our processing of your information.
We may take up to 21 days to respond to your request because we must follow procedures. To ensure that we respond to your request as best we can, we may ask you for additional information, such as proof of identity or valid proof of residence, to verify your details.
